Privacy Policy

Our clients tend to care where their information goes, and they are right to. This explains exactly what First Team Holdings LLC collects, what it is used for, who else sees it, and how to get it back or have it deleted.

01The short version

  • We collect what a carrier needs to quote and move a vehicle, and not more.
  • We do not sell personal information, and we never have.
  • We do not share your details with other carriers or brokers, because we do not broker your shipment.
  • We contact you about your own job. There is no marketing list to be added to.
  • Knowing that a particular person owns a particular valuable car is sensitive, and we treat it that way.

02What we collect

When you enquire
Your name, email address, telephone number, the vehicle's year, make, and model, the collection and delivery ZIP codes, your requested collection date, whether the vehicle runs, whether you want sole use of the trailer, and anything you type into the notes.
When you book
The full collection and delivery addresses, the names and numbers of anyone releasing or receiving the vehicle, the vehicle's VIN and declared value, and the signed bill of lading and condition photographs from both ends of the journey.
When you pay
Our payment processor handles the card. We see that a payment succeeded, the amount, and the last four digits — we never receive or store the full card number.
When you call us
Calls to our business lines may be recorded and transcribed so that what was agreed is not a matter of memory. Where the law requires both parties to consent, you will be told at the start of the call and can ask us not to record.
When you use this site
Our host logs IP addresses and request details to keep the site up and to stop abuse. We do not run advertising trackers, and we do not sell or share this data.

03Why we have it

  • To price the work and send you a proposal.
  • To carry out the shipment, which means the driver needs the addresses and the contact numbers.
  • To place insurance on the vehicle and to handle a claim if one arises.
  • To keep the records a federal motor carrier is required to keep.
  • To take payment and keep the accounts.
  • To defend ourselves if a shipment is later disputed. This is the reason condition photographs and signed paperwork are kept well past delivery.

We do not use your information to build a profile, score you, or feed automated decisions about you, and we do not use it to train anything.

04Who else sees it

Only the parties who need it to get your car moved and paid for. Each is bound to use it for that purpose and nothing else.

Our own drivers and staff
Access is per person and role-based, and every sign-in and record opened is logged.
Our insurer and, if needed, a loss adjuster
For placing cover and handling claims.
Our software providers
The systems that run the dispatch paperwork, the vehicle tracking, the customer records, the payments, and our email. They process data on our instructions under contract.
Professional advisers and auditors
Accountants and lawyers, where they need it to advise us.
Government and law enforcement
Where we are legally required to produce it. If we are permitted to tell you, we will.

We do not sell personal information, we do not share it for cross-context behavioural advertising, and we do not pass enquiries to other carriers, brokers, or lead buyers. If our business is ever sold, any transfer of records would remain subject to this policy.

05Email, calls, and texts

The checkbox on the enquiry form is your consent for us to contact you about that enquiry by email, phone, or text at the details you gave. It covers your own job — the quote, the schedule, the driver's arrival, the paperwork, the money.

It is not consent to marketing, because we do not send any. You can withdraw consent at any time: reply STOP to a text, or write to us and we will stop. Message and data rates may apply to texts, and standard carrier charges apply to calls. Withdrawing consent for texts does not cancel your shipment — we will simply reach you another way.

06How long we keep it

Enquiries that never became bookings
Two years, then deleted. Ask us sooner and we will delete them sooner.
Shipment records, bills of lading, and condition photographs
Kept indefinitely. This is deliberate. A condition record is the only defence either of us has if a question about a car's history surfaces years later, and for a collector vehicle that is exactly when it surfaces.
Call recordings and transcripts
Two years, unless attached to an open claim.
Financial records
Seven years, as tax law requires.
Website and access logs
Ninety days.

07How it is protected

The site is served over HTTPS only. The team area sits behind per-person credentials with role-based access, is never cached by browsers or proxies, and is excluded from search engines. Sign-ins and record access are logged per person. Sign-in and enquiry submission are rate limited. Passcodes are stored as salted hashes, never as text we could read.

No system is perfect, and anyone who tells you otherwise is selling something. If we ever discover a breach affecting your information, we will tell you and the relevant regulator as the law requires, and we will tell you what we know rather than what sounds best.

08Your rights over your information

Wherever you live, you can ask us for all of the following, and we will not charge you or treat you differently for asking.

  • A copy of what we hold about you, and an explanation of where it came from and who it went to.
  • Correction of anything inaccurate.
  • Deletion of anything we are not legally required to keep.
  • A portable copy in a machine-readable format.
  • Confirmation that we have not sold or shared your information — we have not.
  • Withdrawal of your consent to be contacted by text or phone.

Write to us and we will verify who you are — enough to be sure, not enough to be obstructive — and respond within forty-five days. If we need longer we will tell you why. You may use an authorised agent. If we decline a request, we will tell you the reason and how to appeal it, and you can also complain to your state Attorney General.

Residents of California, Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, and the other states with comprehensive privacy statutes have these rights by law; we extend the same set to everyone rather than run two standards.

09Cookies

The public site sets no advertising or analytics cookies, so there is no consent banner to dismiss. The team area sets one signed session cookie, which is what keeps a signed-in member signed in; it is strictly necessary and carries no tracking.

10Children

This is a commercial service for adults. We do not knowingly collect information from anyone under sixteen. If you believe we have, tell us and we will delete it.

11Changes to this policy

The effective date is at the top of this page. If we change anything that materially affects how we handle your information, we will change that date and, where it affects an active shipment, tell you directly rather than relying on you to re-read a web page.

12Reaching a person about this

Privacy requests and questions go to the addresses below. A person answers, and it is the same person who would be handling your car.
